I believe there's a queue of the emails to be processed, according to the date they were received. By "pinging" again and again, you basically move yourself backwards in the queue, because your email has "just been received".
Besides, honestly, you didn't really supply any useful information; "causing havoc with our e-mails" doesn't explain much.
The Outlook plugin will be enabled when ready; the Mail Shield should do its work in between.
